Zapier connects applications that do not talk to each other. You pick a trigger in one service and one or more actions in another, and it runs automatically from then on. It supports thousands of applications and has added AI steps that can summarise, classify or draft text in the middle of a workflow.
Why it's different
It has by far the widest catalogue of integrations, so it is usually the one that supports the obscure tool you actually use. It is also the most expensive of its kind, and it charges by task, which means a workflow that fires more often than you expected produces a surprising bill. For anything with complex branching it is clumsier than the alternatives.
How people use it
Copying form submissions into a spreadsheet or CRM. Posting a message when something happens somewhere else. Filing attachments automatically. Small office jobs that currently happen because somebody remembers to do them. Start with one workflow that removes a genuine weekly chore, and watch the task count for the first month.

- Start from the trigger and build one action, then run it once with real data before adding anything else.
- Use a filter step early to stop the run when nothing needs doing, because task-based pricing charges for workflows that fire and achieve nothing.
- Turn on error notifications when you create the Zap, not after the first silent failure.
- Check the task count after the first week. A trigger firing more often than you expected is how the bill surprises people.
- If the workflow needs branching or loops, stop and use a different tool. Zapier is the widest integration catalogue and the clumsiest logic.
